Campus Computer Refresh Program

Overview:

IMPORTANT: As of August 2023, the Campus Computer Refresh Program is no longer centrally funded by the campus.  Departments may begin the purchase of campus computing equipment for both new staff members and existing staff members by submitting an IT Device Purchase Review request.  The IT&IP Division strongly recommends divisions refresh computers every 4 years for their employees and shared workspace locations. 

Based on a 4-year refresh cycle, IT&IP will annually coordinate with divisions and colleges and provide the specific list of employees scheduled for a new computer.  Unless otherwise submitted by the division or college, the Campus Computer Refresh Program assumes existing Windows OS users would stay with a Windows OS device, and existing Mac OS users would stay with a Mac OS device.

Eligibility:

As university funding permits, the campus computer refresh program is designated to provide both new and current staff members a computer every four years who meet the following position criteria.  The following eligibility is only applicable when central funding resources are available.  As of August 2023, there are no centrally funded mechanisms.  Departments may begin the purchase of campus computing equipment for both new staff members and existing staff members by submitting an IT Device Purchase Review request.  The Computer Computer Refresh Program cannot fund the purchase for eligible staff members at this time.

  • State-Side staff member employee (Foundation and ASI are not eligible)
  • Full-Time position (part-time employees are not eligible)
  • Permanent position (temporary or contract employees are not eligible)
  • Computer worker (position requires hours of daily computer usage)

Departments with part-time or temporary employees may also request IT Device Purchase Review requests and subsequent orders with departmental funds. Please refer to the FAQ section below for additional information.

One Computer Per Person:

Beginning July 2021, the campus began enforcing a ONE COMPUTER PER PERSON computer implementation.  Aside from faculty research and other special considerations, most employees will only have one computer assigned for work purposes.  The ONE COMPUTER PER PERSON approach provides employees with a consistent working environment and reduces campus expenses.

As noted, there may be an instance where a secondary computer, extra device, or laptop may be needed for grants, research or new part-time, temporary employees.  All secondary or extra computers are funded by the grant or department, require purchasing justification, and require IT&IP approval.  Please refer to the Request a Computer Device section webpage for information regarding the purchase of additional computers. 

iPads and other tablet-based devices are not considered computers.

Frequently Asked Questions

As of August 2023, there is no central funding to purchase replacement computers for eligible staff members.  Departments may purchase campus computing equipment for both new staff members and existing staff members using the Campus Computer Purchase Portal.

During periods with the computer refresh program is centrally funded by the campus, all full-time permanent state staff employees who require an assigned computer are eligible for a new laptop when hired and a subsequent replacement laptop device every four years. Part-time state employees, temporary state employees, and non-state employees including from Foundation and ASI are NOT eligible for a laptop via the campus computer refresh program.  Full-time permanent state employees who do not require an assigned laptop to complete their job responsibilities include positions such as painters, landscapers, plumbers and other workers who do not regularly utilize a computer for their daily tasks.  Departments with part-time or temporary employees may request to purchase a new computer with departmental funds.

As university funding permits, eligible staff members qualify to receive a new laptop at the end of the fourth year. IT&IP refresh program coordinators work with campus divisions and colleges to confirm and schedule computer replacements.

Yes. In keeping in step with the University's One Computer Per Person practice, you will return your old laptop or desktop when receiving your new laptop computer. IT&IP will assist users with the laptop replacement transition and ask that all user data is backed up to the cloud or department networking locations.

If the division or college funded the full cost of the device, the device remains with the department.  If the device was funded or partially funded by the campus through central funding, the assigned computer will stay with the eligible permanent state staff member when they move to another position. Unless the new position requires a substantial change in the computer equipment needed to complete the tasks of the new role, the existing computer assigned to the staff member will remain with that staff member.  

Computers for all staff members, including full-time employees, part-time employees, temporary staff hires, student assistants, and shared desktop stations may be requested by submitting an IT request to purchase computing equipment.  If a part-time or temporary staff member is hired to fill a position to cover for another employee's leave (i.e. sickness, maternity, paternity, etc), please contact IT for consultation.

The campus computer refresh program will coordinate the allocation of a standard Dell laptop computer  (approximately $1,900).  Alternative campus standard equipment, such as a campus standard MacBook Pro, Microsoft Surface, and a customized Dell laptop will likely cost more than the standard Dell device.
