Reserve FAQ

The Circulation/Course Reserves Desk maintains a collection of reserve materials chosen by instructors to support their courses. The Circulation/Course Reserve Desk is located on the 2nd floor of the Cal Poly Pomona University Library (Bldg. 15) and is open all hours that the library is open. The University Library offers instructors and students the use of Course Reserves services in the form of physical material and library-owned eBooks and articles. Physical material include both library-owned and instructor supplied materials such as books, DVD's, CD's, etc. A list of Course Reserves materials can be searched in our library catalog OneSearch under "Course Reserves."

Course Reserves Information for Students

Course Reserves material loans are restricted to currently enrolled Cal Poly Pomona students, faculty, and staff with valid ID (Bronco Access Card), also I-Poly High School students, Open University students, and various special program enrollees. Check with Circulation Desk for Borrowing Privileges.

Borrower's record must be clear of all overdue materials and/or fees of $5.00 or more

All material checked out from Reserve must be returned to Reserve

Maximum of three Course Reserves items per ID card. Limit on projects is five per ID card

Course Reserves materials are not holdable or renewable.

No Renewals. Waiting period of one hour before rechecking out hourly materials and one day for daily or weekly materials.

FEES begin to accrue immediately after due date and time. All borrowers, including faculty and staff, are responsible for overdue items and are subject to Library overdue fees

Borrower is responsible for missing or damaged materials. Billing fees and/or replacement fees will be assessed accordingly.

Replacement fees for lost materials are: CURRENT replacement fee of the item (refundable if the item is subsequently returned) and overdue fees (maximum charge of $100.00).

Course Reserves Information for Faculty

Copyright Clearances

Before requesting that materials be placed on Course Reserves, faculty should determine whether or not permission to copy the materials needs to be obtained. Cal Poly Pomona Library's guidelines for Course Reserves are based on the principle that the fair use provisions of the Copyright Act of 1976, Section 107 permit the making copies of copyrighted material for the classroom:

"Not withstanding the provisions of section 106 and 106a, the fair use of a copyrighted work, including such use by reproduction in copies or phone records or by any other means specified in that section, for purposes such as criticism, comment, news reporting, teaching (including multiple copies for classroom use), scholarship, or research, is not an infringement of copyright."

To determine if the use of a copyrighted work meets the criteria for fair use, the following four factors must be considered:

  1. the purpose and character of the use
  2. the nature of the copyrighted work being used
  3. the amount and substantiality of the work being used
  4. the effect of the use on the market for value of the original

Copyright permission must be sought after by faculty through the Copyright Clearance Center.

Course Reserves may include copyright materials at the request of an instructor for one semester only.

Materials that will be placed in Course Reserves without obtaining copyright permission include any combination on the following list:

  • Quizzes/Exams/Solutions prepared by instructor
  • Homework assignments prepared by instructor
  • Study guides/syllabus prepared by instructor
  • Bibliography or lists prepared by instructor
  • Lecture notes prepared by instructor
  • Student papers (with written authorization)
  • Government publications
  • Overheads prepared by instructor
  • One article from a journal issue per course
  • One chapter from a book per course

Faculty Created Readers/Manuals (Course Packets)

Graphic Communications Services will handle printing and the Bronco Bookstore will be handling copyright clearing and sales distribution for manuals and readers previously produced at Bronco Copy & Mail. Please contact Stacie Shellner (sashellner@cpp.edu) regarding these materials.

Material may be placed on reserve by submitting a Reserve Request Form (PDF) and should accompany all material.

Materials are processed on a first-come, first serve basis depending on the volume of incoming items and the type of material.

Please submit requests to ensure availability to students by the first day of classes. It may take 2-3 working days to process Course Reserve materials depending on staff availability and resources.

The library does not accept responsibility for lost, stolen, or damaged materials.

Course Reserves staff will affix a call number, barcode, and a checkout label to personally owned items.

Library staff cannot place other library's materials on Course Reserves at Cal Poly Pomona Library reserve services.

To submit physical reserve materials:

Instructors may request to have physical material as well as eBooks and electronic journal articles placed on Course Reserve for their courses. Instructors can submit up to 30 physical items (books, DVDs, journals, kits). The size of the item cannot extend beyond the bookshelf (35in x 13in max). Once added to Library Course Reserves, these items will be available to loan to all CPP students, faculty, and staff for the loan period assigned to the item.  

CPP University Library circulating physical materials and personal /department owned materials may be added to Library Course Reserves. When these items are added, a barcode and loan label stickers will be applied to the physical item. Material belonging to other libraries may not be added to Library Course Reserves. 

Upon evaluation of the item(s) submitted for Course Reserves, it will be decided by the Course Reserves Coordinator if the item can be added or kept in Course Reserves. 

The Course Reserves Coordinator may contact the faculty regarding the submitted item and its need for the course through the next semester. If no response to the email is received, the item(s) may be removed from Course Reserves. 

The Course Reserves Coordinator may voluntarily place books in Course Reserves if it is known that a CPP library-owned book title has been adopted for a particular course. If a book is placed in Course Reserves under the faculty name and course, the faculty will be notified by email and provided with a link to their Course Reserves reading list online.  

Please note: Item(s) may be removed from Course Reserves if the item(s) has not been borrowed for over one year. Non-library-owned Items will be returned to the professor/department via campus mail.
