Sick Leave

Sick leave is paid time off from work that workers can use to stay home to address their health needs without losing pay. It differs from paid vacation time or time off work to deal with personal matters, because sick leave is intended for health-related purposes. When requesting a medical leave of absence, it is important for employees to review the amount of sick leave credits available. As standard practice, sick leave credits are unitized throughout the duration of the employee’s medical leave to avoid loss of income. CSU Family Medical Leave (FML) policy requires the campus to make an FML determination after the employee has taken multiple consecutive sick days, even if the employee does not provide notice (the number of days varies by CBA). Sick leave may be authorized by the HEERA manager for other limited uses such as:

  • Illness, injury, pregnancy, or childbirth
  • Exposure to contagious disease
  • Dental, eye, or other physical or medical examinations or treatments by a licensed practitioner
  • Illness or injury in the immediate family

Refer to the appropriate Collective Bargaining Agreement for additional details on when sick leave may be utilized.

An employee shall be responsible for reporting an absence to the Appropriate Administrator as soon as possible in compliance with department and campus policies. The CSU recognizes that extenuating circumstances may prevent an employee from calling in before the start of their shift, but the employee will make every effort to call in as close to the start of the shift as possible.

An employee may be required to provide a licensed health care provider’s statement or other appropriate verification when absent due to illness/injury. An employee shall NOT normally be required to provide such a statement or verification for an absence of the following days, based on bargaining unit:

  • Units 1, 2, 4, 5, 6, 7, 9: Five (5) consecutive days or less.
  • Units 3, 8, 11: Three (3) consecutive days or less.

Sick leave is accrued at the rate of eight (8) hours per qualifying pay period for full-time employees and accumulated without limitation. Sick leave is accured on a pro-rate basis for part-time employees.

In addition, sick leave may not be used prior to an accrual which occurs on the first day of the following pay period (for qualifying pay periods) and is taken in units of no less than half an hour.

Upon leaving university employment, no payment is made for unused sick leave. However, under certain conditions, unused sick leave may be transferable to other State agencies or converted to service credit at retirement in accordance with CalPERS guidelines.
